BOOKING FEE: £200.00 is required at the time of booking, together with a signed contract. Dates are reserved only when this booking fee is paid. An unconditional refund policy exists for a period of 14 days from receipt of this contract and payment, after which the Booking Fee is non-refundable or transferable in the event of cancellation.

BALANCE PAYMENT: The balance payment is to be made one month prior to the Wedding Ceremony. Payment for any additional items such as album upgrades, prints & frames is made after the wedding at the time of ordering. Please note that the booking fee is part of the total cost. This includes all photography and post production, and the agreed number of images from your pre-wedding shoot and/or your wedding.

CREATIVE LICENCE: The photographer shall be granted creative and artistic licence in relation to the choice of locations and poses used and her judgement on photographic style and the number of photographs taken, shall be deemed correct. Due to changes of the weather and the availability and willingness of subjects Vicki Head will do her best to honour requested photographs but does not undertake to guarantee any specific picture nor incorporate any specific background, location or group arrangement.

VIEWING: A mutually convenient appointment for viewing of photographs will be made upon return from honeymoon after which a password protected online viewing gallery will be provided.

COPYRIGHT LAW: The 1988 Copyright, Designs, and Patents Act assigns copyright to Vicki Head and all copyright in the images are owned absolutely by the Photographer . A print licence, which permits printing for personal use, will be issued with high resolution digital images. Selling, Publication or any Commercial use of the photographs is not allowed without prior written permission from the Photographer. Images are copyright and must not be altered or edited in any way or be copied photographically, electronically or by any other means.

DISPLAY – The Client hereby allows the Photographer/s to display any image taken pursuant to this contract in their studios, portfolios, literature, online website and facebook, wedding exhibitions and advertising. No use of the image/s will be made by the Photographer/s for other commercial reason except with the written permission of the Client.

EXCLUSIVITY: Vicki Head shall be the sole professional (still) photographer at the venues specified. Guests will have digital cameras and will want to photograph the bride and groom. In the spirit of cheerful cooperation the bride and groom agree to give the Photographers precedence over your guests in order to take the photographs required for the wedding services. Vicki Head cannot be held liable for a lack of wedding photos if guests taking their own photos of the bride and groom have continually interrupted the photographer’s work, however we encourage family, friends, and other guests to take photographs throughout the day.

PRE-WEDDING CONSULTATION: This can happen at the time of booking or at a mutually arranged time. The bride and groom will outline broadly what is required and the Photographer will advise on planning, logistics and timings were needed. Where required, an additional meeting can be arranged closer to the time of the wedding (about 6 weeks) to iron out the remaining details. In any case Vicki will contact you by phone a few days before the wedding to ensure that there have been no last minute changes.

COOPERATION: The bride and groom and the Photographer consent to happily cooperate and communicate with each other to achieve the best possible result within the understanding of this contract. We recommend that the wedding photographer(s) be provided with a helper (usually the best man) who will point out key individuals to be photographed. The photographer(s) may also require the assistance of the best man or ushers in organizing family groups. The bride and groom also agree to give the photographer(s) sufficient warning of key events at the wedding to give the photographer time to prepare e.g. Bouquet throwing, cutting the cake, speeches etc. Please note that not all guests at wedding like having their photo taken. In such cases the Vicki Head will use her discretion but cannot be held responsible for a lack of photos of these people.

HOUSE RULES: Note: Photographers are sometimes limited by rules imposed by registrars, ministers and venue management as to what can and cannot be done. For example some ministers insist that no flash photography is allowed, and others will insist that the Photographers shoot from a specific location. In such circumstances the bride and groom agree to accept the technical limitations that may be imposed on the locations and equipment used. Vicki Head will do her best to honour requested photographs but does not undertake to guarantee any specific picture nor incorporate any specific background, location or group arrangement.

FORCE MAJEURE: In the unlikely event of total photographic failure, injury or sickness beyond Vicki Head Photography’s control, their liability shall be limited to a full refund of all monies paid. Your statutory rights are not affected. Vicki Head Photography has methods in place to prevent the loss or damage to your images, however, in the unlikely possibility that images may be lost, stolen or destroyed for reasons beyond our control, liability is limited to the return of fees paid for the service or part thereof according to the percentage of images supplied. Vicki Head has full Public Liability, and Professional Indemnity Insurance.

CANCELLATION: If Vicki Head Photography has to cancel this contract for reasons beyond their control, (death, injury, sickness etc.), the liability shall be limited to a full refund of all monies paid, although replacement photographers will be recommended where possible.
In the event of the bride and groom cancelling the wedding for whatever reason (after a period of 14 days from the date of signing the contract), the booking fee is non refundable. As compensation for loss of income for Vicki Head the following charges apply as a percentage of the total fee due. (Number of days before the wedding) 21 days or less – 75% 22-60 days – 50%. Should the cancelled wedding turn out to be a postponement, then, subject to availability, all money paid may be applied to the new wedding. In this case, the total fees chargeable shall be the fee which applies at that time. In the event of Vicki Head taking another wedding booking for your cancelled or postponed date a full unconditional refund of your deposit and monies paid shall be made.

PRIVACY: Vicki Head Photography will store your name and wedding details on a private internal database. These details will not be made available to companies or individuals outside of Vicki Head Photography.
